Managing Your Team — Employees and CRM Access

The Team page in BuilderMate is where you manage your roster — add employees, control who can log in to the CRM, assign roles, and keep track of team activity. Whether someone is a salesperson, project manager, or field crew member, this is where you set them up.

Who Can Access This

Admin users only. If you don't see the Team page in your sidebar, you don't have Admin access.

Where to Find It

Navigate to Team from the sidebar. You'll see two tabs: Members and Invitations.

The Members Tab

This is your team roster. Each row shows:

  • Name, Email, Phone
  • Position and Department
  • Commission Rate
  • CRM Access — a Yes/No badge indicating whether they can log in
  • Role — Admin, Team Member, or Field User
  • Activity Status — Online, Recent, Today, or Offline

Activity Indicators

  • Online — active in the last few minutes.
  • Recent — active in the last hour.
  • Today — logged in today but not recently active.
  • Offline — not active today.

Adding an Employee

  1. Click "Add Employee".
  2. Fill in the required and optional fields:
    • First Name and Last Name
    • Email and Phone
    • Position (e.g., Sales Manager, Foreman, Estimator)
    • Department
    • Hourly Rate
    • Commission Rate (%) — used for commission calculations
    • Default Lead Cost Percentage
    • Address
    • Notes
    • Active toggle — leave this on for current employees
  3. Optionally, check "Invite to CRM" to give them login access. If you check this, select a role:
    • Admin — full access to everything
    • Team Member — standard CRM access without user management
    • Field User — limited, mobile-friendly access
  4. Click Save.

If you selected "Invite to CRM," an invitation email is sent to the employee automatically.

Pro Tip: You don't have to grant CRM access to every employee. If someone only needs to show up in assignment dropdowns (like a crew member who doesn't use a computer), add them as an employee without checking "Invite to CRM."

Editing an Employee

Click an employee's name or use the three-dot menu and select Edit. Update any of their details and click Save. Changes to name, phone, or email will sync to their user account if they have CRM access.

Deactivating an Employee

If someone leaves or no longer needs to appear in your active team:

  1. Open their employee record.
  2. Toggle Active to off.
  3. Save.

The employee will be removed from assignment dropdowns across BuilderMate, but all their historical data — past projects, leads, commissions — is preserved.

Managing CRM Access

Granting Access

For employees who don't yet have CRM access:

  1. Click the three-dot menu next to their name.
  2. Select "Grant CRM Access".
  3. Choose a role (Admin, Team Member, or Field User).
  4. An invitation email is sent to the employee.

Changing a Role

  1. Click the three-dot menu.
  2. Select "Change Role".
  3. Choose the new role.

Revoking Access

  1. Click the three-dot menu.
  2. Select "Revoke CRM Access".
  3. The employee can no longer log in, but their record and all associated data remain intact.

Re-inviting

If an invitation expired before the employee accepted it:

  1. Click the three-dot menu.
  2. Select "Re-invite" to send a fresh invitation email.

The Invitations Tab

This tab shows all pending and accepted invitations. For each, you'll see:

  • Email and Role
  • Invited By — which Admin sent the invite
  • Expiration date
  • Accepted Date (if accepted)

From here, you can Resend an expired or missed invitation, or Delete one that's no longer needed.

Good to Know

  • Deactivating an employee is not the same as revoking CRM access. Deactivating removes them from dropdowns; revoking CRM access prevents login. You may want to do both when someone leaves.
  • Commission rates set on the employee record are used in commission calculations throughout BuilderMate.
  • Only Admins can manage team members. Team Members and Field Users cannot see or modify the Team page.
