Quote Settings — Disclaimers, Visibility, and PDF Options
Small details make a big difference in how clients perceive your business. BuilderMate's quote settings let you control the fine print, branding, and what information clients see on every estimate — ensuring a consistent, professional presentation.
Who Can Access This
Admin users can configure the global quote settings described below. All users (Admin, Team Member, Field User) can adjust per-quote visibility settings when creating or editing individual quotes.
Accessing Quote Settings
- Click Settings in the sidebar.
- Navigate to Configuration > Quote Settings.
Default Disclaimer Text
The disclaimer appears at the bottom of every new quote you create. It's the place for important terms, conditions, and expectations.
Setting It Up

In Quote Settings, find the Disclaimer Text field.

Enter your default text. A typical disclaimer might read:
"This estimate is valid for 30 days. Prices subject to change based on material costs. Payment terms: 50% deposit required to begin work."

Save your changes.
Every new quote will now include this disclaimer automatically.
Editing Per Quote
The default disclaimer is a starting point. When creating or editing any individual quote, you can modify the disclaimer text for that specific quote without affecting the default. This is useful when a particular project has unique terms or conditions.
Pro Tip: Include your estimate validity period in the disclaimer (e.g., "Valid for 30 days"). This protects you from clients accepting a quote months later when material prices may have changed.
PDF Header Background Color
When you generate a PDF of a quote, the header section displays your company name and information. You can customize the background color of this header to match your company branding.
- In Quote Settings, find the PDF Header Background Color option.
- Use the color picker to select your brand color.
- Save your changes.
All future quote PDFs will use this color in the header, giving your documents a polished, branded look.
Good to Know: Choose a color that provides good contrast with white text. Dark blues, greens, and grays tend to work well. Test by generating a sample PDF to make sure it looks right.
Per-Quote Visibility Settings
These settings are not global — they are configured individually on each quote when you create or edit it. They control which columns the client sees on the quote:
- Show/Hide Quantities — Toggle whether the quantity column appears.
- Show/Hide Unit Price — Toggle whether individual unit prices are visible.
- Show/Hide Line Item Total — Toggle whether the total for each line item is displayed.
When to Use Visibility Settings
Lump-sum pricing: If you prefer to give clients a single project total without breaking down labor hours or material quantities, hide the Quantities and Unit Price columns. The client sees line item descriptions and the overall total.
Detailed pricing: For clients who want full transparency, keep all columns visible. They'll see exactly what goes into the total — quantities, unit prices, and per-item totals.
Selective detail: You might show line item totals but hide unit prices. This tells the client what each phase costs without revealing your per-unit rates.
Each quote can have its own visibility settings, so you can tailor the presentation to the client or project.
Putting It All Together
A typical setup might look like this:
- Set your default disclaimer in Quote Settings with your standard terms and validity period.
- Choose a PDF header color that matches your logo or brand palette.
- Decide your default approach to visibility — most contractors either show everything or go lump-sum. Set it per quote based on the client relationship.
With these settings dialed in, every quote that leaves your office looks professional and consistent, without extra effort from your team.
