Customizing Lead Statuses and Sources
Every construction business has a different sales process. BuilderMate lets you customize lead statuses, sources, and project types so the CRM works the way you already do — not the other way around.
Who Can Access This
Admin only. These configuration settings affect the entire organization.
Where to Find It
Navigate to Settings > Configuration from the sidebar. You'll see tabs for different configuration categories including Lead Sources, Lead Statuses, and Project Types.
Lead Statuses
Lead statuses represent where a lead is in your sales pipeline. They're the columns in your Pipeline view and the categories in your stats bar.
Viewing Your Statuses
Click the Lead Statuses tab to see your current list. Each status shows its name and color. Common defaults include: New, Contacted, Appointment Set, Estimate Sent, Follow Up, Won, Lost.
Adding a New Status
- Click "Add" (or the add button).
- Enter a Name for the status (e.g., "Negotiation" or "On Hold").
- Choose a Color — this color appears on Pipeline cards, stats badges, and throughout the CRM.
- Save.
Editing a Status
Click on any existing status to update its name or color. Changes apply everywhere that status appears.
Deleting a Status
Delete a status you no longer need. Leads that already have this status keep their existing value — they won't lose data, but the status won't be available for new leads.
Reordering Statuses
Drag and drop statuses to reorder them. The order you set here is reflected in the Pipeline view columns and dropdown menus throughout BuilderMate.
Setting a Default
Mark one status as the default. This is the status automatically assigned to new leads when no other status is selected.
Lead Sources
Lead sources tell you where your leads are coming from — critical information for knowing which marketing channels are working.
Viewing Your Sources
Click the Lead Sources tab. Typical sources include: Website, Referral, Google Ads, Angi, HomeAdvisor, Walk-in.
Managing Sources
The controls are the same as for statuses:
- Add — Create a new source with a name and color.
- Edit — Update the name or color of an existing source.
- Delete — Remove a source. Existing leads with that source keep their value.
- Reorder — Drag and drop to arrange sources in your preferred order.
- Set Default — Choose which source is pre-selected for new leads.
Project Types
Project types categorize the kind of work a lead is interested in. This helps with filtering, reporting, and keeping your pipeline organized.
Viewing Your Project Types
Click the Project Types tab. Examples include: Kitchen Remodel, Bathroom Remodel, Addition, New Build, Roofing, Siding, Deck.
Managing Project Types
Same functionality as statuses and sources: add, edit, delete, reorder, assign colors, and set a default.
Best Practices for Setting Up Statuses
Your lead statuses should mirror your actual sales workflow. Here's a proven progression for construction businesses:
- New — Lead just came in, hasn't been touched yet.
- Contacted — You've made initial contact (call, email, text).
- Appointment Set — A site visit or consultation is scheduled.
- Estimate Sent — You've delivered a quote or proposal.
- Follow Up — Waiting on the client, need to check back.
- Negotiation — Actively discussing scope, price, or terms.
- Won — Client signed the contract, project is a go.
- Lost — Lead didn't convert. Keep for records and follow-up campaigns.
Pro Tip: Keep your status list simple. Having too many statuses makes the Pipeline view cluttered and makes it harder to get a clear read on your sales process. If you find yourself with more than 8-10 statuses, consider whether some can be combined.
How These Settings Connect to Other Features
- Pipeline View — Statuses become columns on your Kanban board. Reorder them here to control the board layout.
- Filtering — Statuses, sources, and project types all appear as filter options on the Leads page.
- Automations — You can set up rules that automatically change statuses based on events (see Setting Up Lead Status Automations).
- Importing — When importing leads via CSV, status and source names need to match exactly (case-sensitive) to map correctly.
- Reporting — Lead reports can break down data by status, source, and project type.
