Adding and Managing Leads

Leads are the starting point of every project in BuilderMate. This guide covers everything from adding your first lead to filtering, searching, and managing your pipeline.

Who Can Access This

  • Admin and Team Member — Full access to all lead features.
  • Field User — Can view leads and the summary tab on the detail page, but with limited access to other tabs.

Adding a New Lead

  1. Navigate to Leads from the sidebar.
  2. Click "Add Lead" in the top-right corner.
  3. Fill in the lead details:

Primary Contact

  • First Name and Last Name (required)
  • Email and Phone

Additional Contact (optional)

  • Use this for a spouse, partner, or secondary decision-maker. Same fields as above.

Property & Details

  • Address — Full address with autocomplete. Start typing and select from suggestions.
  • Lead Status — Choose from your custom statuses (configured in Settings > Configuration).
  • Lead Source — Where this lead came from (e.g., Website, Referral, Google Ads).
  • Project Type / Category — The type of work (e.g., Kitchen Remodel, New Build).
  • Potential Value — Estimated dollar value of the project.
  • Assigned To — Searchable dropdown of your employees.
  • Notes — Any additional context.
  1. Click Save to create the lead.

Three Ways to View Your Leads

At the top of the Leads page, you'll see toggle buttons to switch between three views. BuilderMate remembers your preference.

Table View

The classic list format with sortable columns. You can:

  • Click column headers to sort
  • Toggle which columns are visible
  • Navigate through pages with pagination

Pipeline View (Kanban)

A visual board with columns representing each lead status. Drag and drop cards between columns to update status instantly. See Using the Lead Pipeline View for a deep dive.

Map View

Leads are plotted on a map by their address. Click any pin to see lead details at a glance. This is especially useful if you want to see which neighborhoods your leads are concentrated in.

Filtering Your Leads

Use the filter bar to narrow down your list. Available filters:

  • Status — Multi-select from your custom statuses
  • Source — Multi-select from your lead sources
  • Project Type — Multi-select from your categories
  • Salesperson — Multi-select with search, to find leads assigned to specific team members
  • Date Range — Today, Last 7 Days, Last 30 Days, This Month, Last Month, Year to Date, or a Custom range

Filters persist across sessions, so you'll see the same filtered view when you come back.

Searching

The search bar provides instant full-text search across lead names, email addresses, and phone numbers. Start typing and results update in real time.

The Stats Bar

At the top of your leads list, you'll see colored badges showing the count of leads in each status, plus how many leads were added in the last 30 days. It's a quick health check on your pipeline without running a report.

Editing a Lead

Click any lead row to open its detail page, where you can update all fields, log activities, manage files, and more.

Deleting a Lead

You can delete a lead from the three-dot menu on the leads list, or from within the lead's detail page.

Good to Know: Deleting a lead is permanent. If you're not sure, consider changing the status to "Lost" or "Archived" instead so you keep the history.
