Leaderboard, Cash Flow, and Vendor Reports
While the main Reports article covers all the tabs at a high level, three tabs deserve a closer look because of how much value they deliver for construction businesses: Leaderboard, Cash Flow, and Vendor Reports. This article walks through each in detail.
Who Can Access This
- Admin and Team Member users can access all reports.
- Field Users cannot see reports.
Leaderboard
The Leaderboard tab ranks your sales team members by performance, giving you a clear picture of who's driving results.
What You'll See
- Revenue generated — total revenue attributed to each salesperson.
- Commissions earned — calculated commissions for the selected period.
- Number of projects — how many projects each person has closed.
- Conversion rate — the percentage of leads each person converts to projects.
How to Use It
- Navigate to Reports > Leaderboard.
- Set your date range to the period you want to evaluate (month, quarter, year, or custom).
- Review the ranked list of team members.
- Click Export to download the leaderboard as an Excel spreadsheet or PDF.
When It's Most Useful
- Team meetings — put the leaderboard on screen to celebrate wins and identify coaching opportunities.
- Bonus reviews — use the data to support performance-based compensation decisions.
- Quarterly reporting — export a clean PDF to include in your business review materials.
Pro Tip: Review the leaderboard monthly rather than just at the end of the quarter. Catching a dip in conversion rates early gives you time to course-correct before it impacts your bottom line.
Cash Flow
Cash flow is the number-one financial challenge in construction. This tab gives you the visibility you need to stay ahead of it.
Accounts Receivable (AR)
See what clients owe you, broken down by age:
- Current — invoices not yet due.
- 30 days — slightly overdue.
- 60 days — moderately overdue.
- 90+ days — significantly overdue.
Use the aging breakdown to identify which clients are falling behind on payments so you can follow up before small balances become big problems.
Accounts Payable (AP)
See what you owe your suppliers, subcontractors, and vendors, broken down by the same aging categories. This helps you plan outgoing payments and avoid surprise cash crunches.
Invoiced vs. Paid Trends
A line chart showing invoiced amounts alongside collected payments over time. If the gap between the two lines is growing, it means you're billing but not collecting fast enough — a common issue that this visualization makes immediately obvious.
Cash Flow Projection
Based on your outstanding receivables and payables, BuilderMate projects your upcoming cash position. This forward-looking view helps you plan for slow periods and make smarter decisions about when to take on new work or make large purchases.
Good to Know: Construction businesses often have long payment cycles. Reviewing the Cash Flow tab weekly helps you spot trends before they become emergencies. Even a quick glance at the aging analysis can save you from an unpleasant surprise.
Vendor Reports
The Vendor Reports tab helps you understand where your money goes when it comes to subcontractors and suppliers.
Spend Analysis
View your total spend per vendor or subcontractor over any date range. This gives you a clear picture of your largest relationships and where your budget is being allocated.
Top Vendors
A ranked list of vendors and subs by total spend. Use this to:
- Identify your most critical vendor relationships.
- Spot opportunities to consolidate spend with fewer vendors for better pricing.
- Prepare for rate negotiations with hard data.
Spend by Category
Break down your vendor spending by category — labor, materials, equipment, and more. This helps you understand the composition of your project costs and identify areas where spending is higher than expected.
Pro Tip: Before renegotiating rates with a subcontractor, pull up the Vendor Reports tab and filter by that vendor. Having exact spend data in front of you gives you leverage and makes the conversation more productive for both sides.
Report Settings
You can fine-tune how reports calculate revenue by navigating to Settings > Reports. The key setting here is the Project Start Date Field, which lets you choose between:
- "Created Date" — revenue is attributed to when the project was created in BuilderMate.
- "Contract Signed Date" — revenue is attributed to when the contract was signed.
This setting affects how revenue shows up in time-based report charts, so choose the option that matches how your business thinks about when a project officially "starts."
