Using Reports — Overview, Sales, Financial, and More

BuilderMate's reporting suite gives you a bird's-eye view of your business — from lead conversion and revenue trends to project breakdowns and cash flow. All reports are available from a single screen with powerful filtering and comparison tools.

Who Can Access This

  • Admin and Team Member users can access all reports.
  • Field Users cannot see reports.

Where to Find It

Navigate to Reports from the sidebar. You'll see a tabbed interface with different report categories.

Report Tabs

Overview (Business Overview)

Your top-level KPIs at a glance:

  • Total revenue
  • Total expenses
  • Profit
  • Active projects
  • New leads
  • Conversion rates

This is the tab to check when you want a quick pulse on how the business is doing.

Sales (Sales Performance)

Dive into your sales pipeline:

  • New leads over time — a chart showing lead volume trends.
  • Lead-to-project conversion rate — how effectively your team turns leads into projects.
  • Revenue by lead source — see which marketing channels are driving the most revenue.
  • Sales funnel visualization — track how leads move through your pipeline stages.

Leaderboard

Rank your sales team by performance:

  • Revenue generated and commissions earned per salesperson.
  • Exportable to Excel or PDF for team meetings and bonus reviews.

Financial (Financial Performance)

A deeper look at your finances:

  • P&L overview — profit and loss at a glance.
  • Revenue vs. Expenses trend — see how the gap between income and spending changes over time.
  • Profit margin trends — track whether your margins are improving or slipping.
  • Period comparisons — compare current performance against previous periods.

Projects (Project Intelligence)

Understand your project portfolio:

  • Project type breakdown — which types of work you do most.
  • Status distribution — how many projects are in each stage.
  • Average project size and value — benchmark your typical job.
  • Timeline metrics — how long projects take from start to finish.

Cash Flow

Stay on top of money coming in and going out:

  • Accounts Receivable (AR) analysis — what clients owe you.
  • Accounts Payable (AP) analysis — what you owe.
  • Invoiced vs. Paid trends — spot billing and collection gaps.
  • Aging analysis — identify overdue payments.

Vendors

Analyze your subcontractor and vendor spending:

  • Vendor/sub spend analysis — total spend per vendor.
  • Top vendors by spend — ranked list.
  • Spend breakdown by vendor — see where your money goes.

Change Orders

Track change order activity:

  • Volume over time — how often change orders happen.
  • Total value — the dollar impact of changes.
  • Approval rates — what percentage get approved.
  • Breakdown by type — understand why changes are happening.

Global Filters

Every report tab supports the same set of filters, so you can slice and dice your data consistently:

  • Date Range — choose from presets (this month, this quarter, this year, etc.) or set a custom range. The chart granularity auto-adjusts based on the range you select.
  • Project Types — multi-select to focus on specific work categories.
  • Lead Sources — multi-select to analyze specific marketing channels.
  • Team Members — multi-select to see individual or group performance.
  • Project Statuses — multi-select to filter by where projects stand.

Comparison Mode

Toggle comparison mode to see the current period alongside the previous period. Charts and KPIs will display percentage changes with up/down arrows, making it easy to spot trends and measure progress.

Drill-Down

Click on any chart element — a bar, a pie slice, a data point — to open a detail modal with tabular data behind the visualization. This lets you go from the big picture to the specific records without leaving the reports page.

Pro Tip: Use the date range filter with comparison mode turned on before a quarterly business review. You'll have instant period-over-period metrics ready to share with your team or partners.
