Project Files and Documents

Every construction project generates paperwork — photos, permits, contracts, plans, and more. BuilderMate's Files tab keeps everything organized and accessible so your team doesn't have to dig through email threads or shared drives to find what they need.

Who Can Access This

Admin, Team Member, and Field User roles can all access the Files tab on projects.

Accessing Project Files

  1. Open any project from the Projects page.
  2. Click the Files tab.

This is where all documents associated with the project are stored and organized.

Uploading Files

  1. Click the "Upload" button on the Files tab.
  2. Select one or more files from your device. You can upload multiple files at once.
  3. Choose a category for the upload (you can also change the category later).
  4. The files are uploaded and immediately available to your team.

Supported File Types

  • Photos — JPG, PNG, and other common image formats.
  • PDFs — Contracts, plans, permits, and any other PDF documents.
  • Documents — Other standard document formats.

Pro Tip: Upload job site photos regularly throughout the project. They're invaluable for tracking progress, resolving disputes, and showcasing your work to future clients.

File Categories

Files are organized into four categories to keep things tidy:

  • Photos — Job site pictures, progress photos, before-and-after shots.
  • Contracts — Signed agreements, client contracts, subcontractor contracts.
  • Permits — Building permits, inspection reports, compliance documents.
  • Other — Anything that doesn't fit the categories above — plans, specs, receipts, etc.

You can select the category when uploading or change it later if a file ends up in the wrong spot.

Viewing and Previewing Files

Click on any file to preview it directly in BuilderMate:

  • Images (JPG, PNG) open in an in-app viewer — no need to download first.
  • PDFs display directly in the browser for quick review.

This makes it easy to check a photo or reference a permit without leaving BuilderMate.

Downloading Files

Click the download icon on any file to save it to your device. This is useful when you need to share a document outside of BuilderMate or include it in an email.

Deleting Files

Click the delete icon on a file to remove it from the project. Be careful — deleted files cannot be recovered.

Good to Know: Only delete files you're sure are no longer needed. If a document might be relevant later (even old versions), consider keeping it and relying on categories to stay organized.

CompanyCam Integration

If your team uses CompanyCam for job site photos, BuilderMate can pull those photos into the Files tab automatically. This means your field crew can keep snapping photos in CompanyCam like they're used to, and the office team will see them right inside the project in BuilderMate.

Talk to your Admin about setting up the CompanyCam integration if your team is interested.

Tips for Staying Organized

  1. Upload early and often — Don't wait until the end of a project to dump all your files. Upload as you go.
  2. Use categories consistently — Get your team in the habit of selecting the right category at upload time.
  3. Name files clearly — A file named "kitchen-demo-day1.jpg" is much more useful than "IMG_4392.jpg".
  4. Take advantage of previews — Use the in-app preview to quickly verify you're looking at the right document before downloading or sharing.
