Understanding the Project Detail Page

Click on any project in your list to open its detail page. This is your command center for everything related to that job. The page is organized into tabs so you can quickly jump to what you need.

Who Can Access This

Admin and Team Member can access all tabs. Field Users can access all tabs except the Commissions tab.

Summary Tab

This is your project overview at a glance.

  • Project Info Card — Displays the project name, type, status (with a dropdown to change it quickly), price, key dates, worksite and client addresses, a link to the client record, project manager, and salesperson details including stake percentages and lead cost settings.
  • Financial Summary Box — Auto-calculated numbers that update in real time:
    • Total Invoiced — Sum of all client invoices.
    • Total Paid — Payments received so far.
    • Total Expenses — Sum of supplier invoices.
    • Total Receivable — Invoiced minus Paid.
    • Balance — Price minus Total Paid.
    • Profit — Total Paid minus Total Expenses.
  • Progress Updates — A section for posting and viewing project progress notes.
  • Notes — Inline editable notes for internal use.
  • Recent Documents — A preview of recently added documents for quick access.

Pro Tip: The Summary tab is the fastest way to check a project's financial health without digging into individual invoices or expenses.

Contracts Tab

View all contracts linked to this project. Each contract shows its number, status (Draft, Sent, Partially Signed, or Completed), the template used, and signed dates. Click "New Contract" to create one — you can create a contract directly from an existing quote.

Billing Tab (Invoices & Stages)

This tab has two sub-views:

Invoices

All client invoices for this project. From here you can create new invoices, view their status, record payments, send invoices to clients, and track Stripe payments.

Payment Stages

Billing milestones that help you structure payments across the project timeline. You can:

  • Create stages manually.
  • Import stages from a template.
  • Import stages from a quote's payment stages.
  • Link stages to invoices to track completion automatically.

Expenses Tab

Track all supplier invoices (your accounts payable) for this project. Filter by subcontractor, date, or payment status. Create new expense records and log supplier payments as they happen.

Bids Tab

Manage the bidding process with your subcontractors. Send bid requests, review submitted bids, compare pricing side-by-side, and approve, reject, or award bids.

Purchase Orders Tab

View all purchase orders for this project and create new POs as needed.

Commissions Tab

Note: This tab is visible to Admin and Team Member roles only. It is hidden from Field Users.

View commission calculations for each salesperson assigned to the project. The tab provides a full formula breakdown so you can see exactly how commissions are computed.

Files Tab

Upload and organize project documents. Files are sorted into categories:

  • Photos
  • Contracts
  • Permits
  • Other

You can upload multiple files at once, preview images and PDFs directly in the app, download files, or delete them.

Change Orders Tab

Track all modifications to the original project scope. View existing change orders or create new ones with detailed line items. Change orders track approval status and can be sent to clients for signature.

Tasks Tab

View and manage tasks specific to this project. This keeps project-related to-dos organized and separate from your general task list.

Schedule Tab

See all appointments and scheduled events related to this project in one place.

Good to Know: You don't have to fill every tab from day one. Start with the Summary and add contracts, invoices, and expenses as the project progresses. BuilderMate keeps everything organized so nothing falls through the cracks.
