Creating and Managing Projects

Projects are the heart of BuilderMate. Every job your team works on — from a small bathroom refresh to a full custom home build — lives here. This guide walks you through creating projects, organizing your list, and finding what you need fast.

Who Can Access This

Admin, Team Member, and Field User roles can all view projects. Admin and Team Member can create and edit projects. Field Users have view access to project information.

Creating a New Project

  1. Click Projects in the sidebar.
  2. Click "New Project" in the top-right corner.
  3. Fill in the project details:

Required and Key Fields

  • Project Name — Give it a clear, recognizable name (e.g., "Smith Kitchen Remodel").
  • Client — Search and select an existing lead or client. This field is required.
  • Project Type — Choose from your custom project types (configured in Settings).
  • Status — Set the current status from your custom project statuses (e.g., Lead, Sold, In Progress, Completed).

Financial Fields

  • Budget — Your internal budget for the project (what you plan to spend).
  • Price — The contract price — what the client pays.

Date Fields

  • Start Date — When work begins.
  • Estimated End Date — Your projected completion date.
  • Actual End Date — Fill this in when the project wraps up.
  • Contract Signed Date — When the client signed.

Additional Details

  • Description — Notes about the project scope.
  • Worksite Address — This may differ from the client's home address.
  • Assigned To — The primary employee responsible.
  • Project Manager — The PM overseeing the job.

Salesperson and Commission Settings

  • Salesperson 1 — Select the primary salesperson. Set their Stake Percentage (e.g., 60%) and Lead Cost settings (fixed amount or percentage of project price).
  • Salesperson 2 (optional) — If a second salesperson is involved, assign them with their own Stake Percentage. The two stake percentages must total 100%.
  • Lead Fee Percentage and Dealer Fee Percentage — Legacy fee fields available if your team uses them.
  1. Click Save to create the project.

Pro Tip: Take a moment to fill in the financial fields (Budget and Price) upfront. This powers the automatic profit tracking you'll see on the project detail page later.

Viewing Your Project List

BuilderMate gives you two ways to view your projects:

Table View

The default view shows your projects in a sortable table with columns for project name, client, type, status, price, start date, end date, and salesperson. You can:

  • Sort by clicking any column header.
  • Toggle column visibility to show only the columns you care about.
  • Navigate pages using the pagination controls at the bottom.

Map View

Switch to Map View to see your projects plotted on a map by their worksite addresses. This is great for planning site visits or seeing how your jobs are distributed geographically.

Filtering and Searching

Use the filter bar at the top of the project list to narrow things down:

  • Status — Multi-select to show only projects in specific statuses (e.g., show "In Progress" and "Sold" together).
  • Project Type — Filter by type of work.
  • Salesperson — See only one salesperson's projects.
  • Date Range — Filter by project dates.

Need something specific? The search bar does full-text search across project names and client names.

Summary Row

At the bottom of the table, you'll see a summary row with totals for the currently filtered list:

  • Total Value — Sum of all project prices.
  • Total Receivable — What's still owed by clients.
  • Total Balance — Outstanding balances.
  • Total Budget — Combined budgets.
  • Total Expenses — What you've spent so far.
  • Total Profit — Your bottom line.

This gives you a quick financial snapshot without running a report.

Exporting Your Project List

Click the CSV Export button to download your filtered project list as a spreadsheet. The export respects your current filters, so you can export exactly the subset you need.

Good to Know: Exporting is handy for sharing project lists with stakeholders who don't have BuilderMate access, or for importing data into other tools.
