Recording Commission Payments and Tracking Balances

Once BuilderMate has calculated a commission, the next step is paying it out. Whether you pay in one lump sum or spread it across multiple payments, BuilderMate keeps a running tally so you always know where things stand.

Who Can Access This

  • Admin and Team Member — Full access to view commission details, record payments, and manage salesperson assignments.
  • Field User — Can view the main Commissions page with their own data only. Cannot access the project-level Commissions tab.

Viewing Commission Details

  1. Navigate to Commissions from the sidebar.
  2. Click any commission row to open the detail view.

The detail panel shows you the full picture:

  • Full Breakdown — Revenue, Lead Costs, Expenses, Net Amount, Commission Pool, Stake Ratio, and final Commission Amount.
  • Payment History — Every payment recorded against this commission, with dates and amounts.
  • Remaining Balance — How much is still owed.

Recording a Payment

  1. Open the commission detail (click the row).
  2. Click "Record Payment".
  3. Fill in the fields:
    • Amount — Enter the payment amount. This can be a partial payment or the full remaining balance.
    • Payment Date — When the payment was or will be made.
    • Payment Method — Select from Check, Wire, Direct Deposit, Cash, or other available methods.
    • Notes (optional) — Add context like a check number or reference.
  4. Save the payment.

The commission status updates automatically based on what's been paid:

  • Pending → No payments yet.
  • Partial → Some payment recorded, balance remaining.
  • Paid → Full commission amount has been paid out.

Making Partial Payments

You're not locked into paying everything at once. Record multiple partial payments over time and BuilderMate tracks each one. This is helpful if you pay commissions in installments — for example, half at contract signing and half at project completion.

Editing a Payment

Made a mistake? Click the pencil icon on any payment row in the payment history to edit the amount, date, method, or notes.

Deleting a Payment

Click the trash icon on the payment row to remove it. The remaining balance recalculates automatically, and the commission status adjusts accordingly.

Managing Commissions from the Project Detail Page

Admins and Team Members also have a Commissions tab on the project detail page. This gives you a project-centric view of commissions with:

Project Overview Card

  • Total revenue, expenses, and gross profit for the project at a glance.

Individual Salesperson Cards

  • One card per assigned salesperson (up to two).
  • Each card shows:
    • Lead cost breakdown — Fixed or percentage, including change order lead costs.
    • Net amount — After lead cost and expenses.
    • Stake percentage — Their share of the commission pool.
    • Commission amount — What they're owed.
    • Paid — What's been recorded.
    • Remaining — What's still outstanding.

Actions from the Project Tab

  • Record payments directly — No need to leave the project page.
  • Edit salesperson assignments — Change who's assigned, adjust stake percentages, or modify lead costs.

Pro Tip: If you need to change a salesperson's stake percentage or lead cost mid-project, do it from the project's Commissions tab. The commission recalculates instantly, and any existing payments stay on record — only the remaining balance changes.
