Using the Calendar — Views and Filters
Your schedule is the heartbeat of your operation. Whether you're coordinating site visits, estimates, or final walkthroughs, the BuilderMate calendar gives you several ways to see what's coming up and who's where.
Who Can Access This
Admin, Team Member, and Field User can all access the Schedule page.
Getting to the Calendar
Navigate to Schedule from the sidebar. The calendar loads with your current view and shows all upcoming appointments.
Calendar Views
Use the view switcher at the top of the calendar to toggle between four views:
Month View
The traditional calendar grid. Each day shows colored appointment blocks, making it easy to spot busy days at a glance. Click any day to see all appointments for that date.
Week View
A 7-day layout with hourly time slots. Appointment blocks span their full duration, so you can see exactly how long each one takes and spot gaps in the schedule. Great for weekly planning sessions.
Day View
A single-day view with hourly breakdowns. This is the most detailed view — perfect for checking today's lineup or planning a packed day. Each appointment shows its full details right on the timeline.
Map View
Appointments plotted on a map by their location. This is incredibly useful for route planning — you can see where your team needs to be and in what order. Click any pin to view appointment details.
Pro Tip: Use Map View when you have multiple site visits in one day. Seeing everything on a map helps you plan an efficient route and avoid backtracking across town.
Filtering by Employee
Use the Employee filter dropdown at the top of the calendar to focus on one team member's schedule:
- All — See every appointment across your team.
- Specific Employee — Select a name to see only their appointments.
This is especially helpful for reviewing workload balance across your team. If one person looks overbooked while another has an open week, you can redistribute before it becomes a problem.
Navigating Between Dates
- Left/Right Arrows — Move forward or backward one period (one month in Month View, one week in Week View, one day in Day View).
- "Today" Button — Jump back to the current date instantly.
Color Coding
Appointments are color-coded by meeting type or assigned employee, depending on your configuration. This visual distinction makes it easy to scan the calendar and identify appointment types without clicking into each one.
Creating Appointments from the Calendar
You have two options:
- Click a time slot — Opens the new appointment form pre-filled with that date and time.
- Click "New Appointment" — Opens a blank form where you set all details manually.
Viewing Appointment Details
Click any appointment block on the calendar to see:
- Title — What the appointment is for.
- Client — Linked lead or client.
- Location — Address or site description.
- Time — Start and end times.
- Assigned Employees — Who's responsible.
- Description — Additional notes.
- Confirmation Status — Whether the client has confirmed.
From the detail view, you can edit, reschedule, or delete the appointment as needed.
