Integrations — QuickBooks, Google Calendar, Stripe, API

BuilderMate integrates with the tools your construction business already relies on. Whether it's syncing invoices to your accounting software, connecting your calendar, accepting online payments, or building custom automations, the Integrations page is where it all comes together.

Who Can Access This

Admin users only.

Where to Find It

Navigate to Settings > Integrations from the sidebar.

QuickBooks Online

Connecting QuickBooks eliminates double entry by syncing your BuilderMate data directly into your accounting system.

Connecting

1. Click "Connect QuickBooks".
2. Sign in to your QuickBooks Online account.
3. Authorize BuilderMate to access your QuickBooks data.

How to Sync

You have two options:

• Manual sync — From any record's detail page (client, invoice, expense, etc.), click "Sync to QuickBooks" to push that record over.
• Auto-sync — Enable automatic syncing so new and updated records push to QuickBooks without manual action.

Managing the Connection

• Configure which record types auto-sync.
• View connection status and last sync time.
• Disconnect anytime if you need to switch accounts or stop syncing.

Pro Tip: Start with manual sync for the first week to make sure everything maps correctly to your QuickBooks chart of accounts. Once you're confident, turn on auto-sync to save time going forward.

Google Calendar

Google Calendar integration is per-user — each team member connects their own Google account for bidirectional sync.

When connected:

• Appointments created in BuilderMate appear on your Google Calendar.
• Changes sync both ways — update in either place and it reflects in the other.

Stripe Connect

Stripe enables your clients to pay invoices online directly through the Client Hub using credit card or ACH bank transfer.

API Access

BuilderMate provides API access for connecting with external tools like Zapier, Make, n8n, or custom software.

Generating an API Key

1. Navigate to Settings > Integrations > API.
2. Click "Generate API Key".
3. Enter a Key Name to identify what the key is used for (e.g., "Zapier Integration" or "Custom Dashboard").
4. Set Scopes to control what the key can access. Examples:
   • clients:read
   • projects:write
   • invoices:read
5. Save and copy the key. Store it securely — it won't be shown again.

API Documentation

Full API documentation is available at Settings > Integrations > API Documentation. This includes endpoints, request formats, authentication details, and example calls.

Managing API Keys

• Track usage — see when each key was last used.
• Deactivate a key to revoke access without deleting it. This is useful if you suspect a key has been compromised — deactivate first, investigate, then delete or generate a new one.

Good to Know: API keys give powerful access to your BuilderMate data. Only create keys with the minimum scopes needed for each use case. If a tool only needs to read client data, don't give it write access to invoices.

Good to Know

• QuickBooks sync is one-directional from BuilderMate to QuickBooks. BuilderMate is your source of truth; QuickBooks receives the data.
• Google Calendar sync is bidirectional, but each user must connect their own account — it's not an org-wide setting.
• Stripe Connect requires a Stripe account. Transaction fees apply per Stripe's standard pricing.
• API keys should be treated like passwords. Don't share them in emails or store them in unsecured locations.
