Creating and Organizing Tasks
Construction projects involve hundreds of small action items — ordering materials, scheduling inspections, following up with clients, pulling permits. BuilderMate's task system helps you capture all of it, assign responsibility, and track progress without things falling through the cracks.
Who Can Access This
Admin, Team Member, and Field User can all create and manage tasks.
Getting to Tasks
Navigate to Tasks from the sidebar. You'll see your task list with options to switch views, filter, and create new tasks.
Creating a Task
- Click "New Task".
- Fill in the details:
- Title — A clear, action-oriented name like "Order kitchen cabinets" or "Schedule final inspection".
- Description — Additional context, instructions, or details.
- Due Date — When the task needs to be completed.
- Assignee(s) — Select one or more team members. BuilderMate supports multi-assignee tasks, so you can rope in everyone who needs to be involved.
- Project (optional) — Link the task to a specific project. Tasks linked to a project also appear on that project's Tasks tab.
- Status — Choose from your custom task statuses (configured in Settings > Configuration > Task Statuses).
- Priority — Low, Medium, or High.
- Folder (optional) — Organize the task into a folder for grouping.
- Private — Toggle this on to make the task visible only to the creator and assignees.
- Save the task.
Task Views
Table / List View
A straightforward list with sortable columns:
- Status — Current task status.
- Assignee — Who's responsible.
- Due Date — When it's due.
- Priority — Low, Medium, or High.
- Project — Which project it's linked to (if any).
Click any column header to sort. This view is ideal for scanning a large list and finding tasks that need attention.
Pipeline / Kanban View
A visual board where each column represents a task status. Tasks appear as cards that you can drag and drop between columns to change their status. This is a fast, intuitive way to move tasks through your workflow — just grab a card and drop it in the next column.
Filtering Tasks
Use the filter options to focus on what matters:
- Status — Show tasks in a specific status.
- Assignee — Search for a specific team member's tasks.
- Folder — Narrow down to a specific folder.
- Search — Free-text search across task titles and descriptions.
Viewing Task Details
Click any task to open the detail panel. Here you'll find the full description plus:
- Checklists — Sub-steps within the task.
- Comments — Team discussion about the task.
- Attachments — Files, photos, and documents.
Marking Tasks Complete
You have two options:
- Change the task's status to your completed status using the status dropdown.
- Use the checkmark action for a quick one-click completion.
Project Tasks
When a task is linked to a project, it appears in two places: the main Tasks page and the project's Tasks tab. Updates sync between both views, so you can manage tasks wherever it's most convenient.
Pro Tip: Use the Kanban view during team meetings to drag tasks through your workflow in real time. It's a great way to do a quick status update with your crew without reading through a spreadsheet.
