Contract Templates — Text and PDF

Writing contracts from scratch every time wastes hours you could spend running your business. BuilderMate's contract templates let you create reusable agreements — either by writing them in a rich text editor with smart variable placeholders, or by uploading your own pre-designed PDF and defining exactly where signatures and fields should go.

Who Can Access This

Admin only. Template creation and management is restricted to Admin users to ensure consistency across your organization.

Getting to Contract Templates

  1. Navigate to Settings from the sidebar.
  2. Click Templates.
  3. Select the Contracts tab.

Here you'll see all your existing contract templates listed, ready to edit or use.

Template Type 1: Text Templates

Text templates are ideal when you want to write your contract content directly in BuilderMate and have it automatically populate with project and client details.

Creating a Text Template

  1. Click "New Template".
  2. Select "Text".
  3. Give your template a clear name — for example, "Standard Residential Contract" or "Subcontractor Agreement".
  4. Write your contract content in the rich text editor. You have full formatting options:
    • Bold, italic, and underline
    • Headers and subheaders
    • Bullet and numbered lists
  5. Insert variable placeholders wherever you want dynamic data to appear. When you create a contract from this template, BuilderMate will automatically fill these in.

Available Variables

The editor shows all available variables, but here are the most commonly used:

  • {{client_name}}, {{client_email}}, {{client_phone}}, {{client_address}}
  • {{project_name}}, {{project_address}}
  • {{company_name}}, {{company_email}}, {{company_phone}}, {{company_address}}
  • {{contract_date}}, {{total_amount}}

And more — the editor displays the complete list so you can browse and insert exactly what you need.

  1. Click Save when you're done.

Pro Tip: Build one solid template for your most common contract type first. You can always duplicate and modify it later for specialized agreements. Getting the first one right saves enormous time down the road.

Template Type 2: PDF Templates

PDF templates are perfect when you already have a professionally designed contract document — perhaps created by your attorney or formatted in a specific way — and you want to keep that exact layout while adding interactive signature and field areas.

Creating a PDF Template

  1. Click "New Template".

  2. Select "PDF".

  3. Upload your PDF file.

  4. The visual editor opens, displaying your uploaded PDF. From here, you place interactive field boxes directly on the document:

    • Client Signature — Where the client will sign
    • Contractor Signature — Where your company representative signs
    • Third-Party Signature — For additional signers (e.g., a co-owner or guarantor)
    • Date Fields — For signature dates
    • Custom Text Fields — For any additional information you need filled in
  5. For each field you place, you can configure:

    • Type — What kind of field it is
    • Page — Which page of the PDF it belongs to
    • Position — Exact placement on the page
    • Size — How large the field area should be
  6. Click Save.

When you send a contract based on this template, BuilderMate overlays the interactive fields on top of your PDF, so recipients can fill in and sign right on the document.

Editing and Deleting Templates

  • To edit a template, click on it from the template list and make your changes.
  • To delete a template, open it and use the delete option. This won't affect contracts that were already created from the template.

Good to Know: Deleting a template only removes it from future use. Any contracts you've already generated from that template remain intact and unchanged.
