How to Follow Up With Construction Leads (The Framework That Wins Jobs)
80% of sales require 5+ follow-ups but most contractors stop after one. Learn the follow-up framework that converts more leads into signed contracts.
How to Follow Up With Construction Leads (The Framework That Wins Jobs)
Here's the uncomfortable truth: 80% of sales require five or more follow-up contacts, but 44% of salespeople give up after just one attempt.
In construction, it's even worse. Most contractors call a lead once, maybe twice, and if they don't connect — they move on. "They'll call back if they're serious," we tell ourselves.
They won't. They'll call the contractor who followed up.
The sale isn't made at the first meeting. It's made in the follow-up. And having a system for it is the difference between a 15% close rate and a 35% close rate.
Why Contractors Are Bad at Follow-Up
Let's be honest about the reasons:
You're on the jobsite. You can't make sales calls while you're up on scaffolding or running a crew. By evening, you're exhausted and the last thing you want to do is make cold calls.
You don't have a system. The lead's number is in a text thread. Or a voicemail. Or a sticky note on your truck dashboard. Without a centralized place to track leads, follow-up is impossible to manage.
It feels pushy. Nobody wants to be "that contractor" who won't stop calling. So you err on the side of not following up enough — which means you don't follow up at all.
You don't know what to say. The first follow-up is easy: "Hey, following up on our conversation." But what do you say on follow-up 3, 4, or 5 without sounding desperate?
The Follow-Up Framework
Here's a simple framework that works. Adapt the timing and messaging to your business, but the structure is proven:
Day 1: The Thank-You Text
Right after the initial contact or site visit, send a text:
"Hi [Name], thanks for taking the time to show me your [project type] project today. I'll have your estimate ready by [day]. Let me know if any questions come up in the meantime. — [Your Name], [Company]"
Why text and not email? Because SMS has a 98% open rate compared to about 20% for email. The client will almost certainly read your text. They might not even see your email.
Day 3: Deliver the Estimate + Check In
Send the estimate (ideally digitally with online approval). Follow up with a text:
"Hi [Name], I just sent over the estimate for your [project type]. Take a look when you get a chance, and I'm happy to walk through anything or answer questions."
Don't ask "did you get my estimate?" — that feels like pressure. Instead, offer to help. Make it easy for them to engage.
Day 7: Provide Value (Not Pressure)
If they haven't responded, don't just say "following up." Provide something useful:
"Hi [Name], while putting together your estimate I came across a great [material/design/approach] option that could save you about $2,000 on your [project type]. Happy to share if you're interested."
Or share a photo of a similar completed project. Or a helpful tip. The point is to give them a reason to respond that isn't "sign my estimate."
Day 14: The Soft Check-In
"Hi [Name], just checking in — I know these decisions take time. If you have any questions or want to adjust the scope, I'm here. No rush at all."
This removes pressure while keeping you top of mind. Many clients actually appreciate this — they've been meaning to get back to you and this reminder gives them the nudge.
Day 30: The Last Touch
"Hi [Name], I know it's been a few weeks — just wanted to let you know the estimate I sent is still available if you'd like to move forward. I'll be here whenever you're ready. All the best — [Your Name]"
After this, move the lead to a "long-term follow-up" status. Check back in 60-90 days with a seasonal message ("spring is a great time to start your remodel") but stop active pursuit.
SMS vs. Email: Which Works Better?
For construction leads, SMS wins overwhelmingly:
- 98% open rate vs. 20% for email
- 90% of texts are read within 3 minutes
- Homeowners check texts while at work — they can't take a phone call but can reply to a text
- Texts feel more personal and less like marketing
Email has its place (sending the formal estimate, sharing documents), but for follow-up communication, text is king.
Construction CRM tools with built-in SMS let you text directly from the same system where you track your leads — so the conversation history is connected to the lead record, not buried in your personal phone.
How to Automate Without Being Robotic
Automation doesn't mean sending generic robot messages. It means:
- Automatic reminders to yourself: "It's been 3 days since you sent the estimate to Johnson — time to follow up"
- Automatic status changes: Lead moves to "Follow Up" status if they've been in "Estimate Sent" for 7 days with no response
- Template messages you can personalize: pre-written text templates you customize with the client's name and project details before sending
The key is that automation handles the timing and reminders, while you handle the personal touch. You should never send a follow-up you haven't at least glanced at and personalized.
BuilderMate's SMS automations can trigger follow-up messages based on events — like sending a reminder a certain number of hours after an appointment. But the best contractors use these as prompts, not replacements for genuine communication.
Tracking Your Follow-Up Activity
For each lead, you should be able to see:
- Every call, text, email, and meeting logged with date and notes
- Current status in your pipeline
- How long they've been in each status
- Who on your team is responsible
This history is invaluable. When a lead calls back after 3 weeks, you can pull up their record and say "Hi Sarah, good to hear from you! Last time we spoke, you were deciding between the quartz and granite countertops. Which way are you leaning?" That level of detail wins trust.
The Numbers Don't Lie
Track these metrics monthly:
- Response time: How fast do you respond to new leads?
- Follow-up attempts per lead: How many touches before a decision?
- Conversion rate by follow-up count: Do leads who get 5 touches convert better than those who get 2? (Spoiler: yes)
- Close rate by lead source: Which sources produce the most responsive leads?
When you measure follow-up, you improve it. When you improve it, you close more jobs from the same number of leads.
